Does your team need a paid AI plan, or is the free version fine?

If anyone on your team touches client work, get the team plan. ChatGPT Business or Claude Team, either one. If it's just you, learning, poking around, free is fine for now. That's the short answer. The longer answer is about what you're actually buying, because it isn't a smarter model. It's the rules.

What's the real difference between free and a team plan?

People assume the paid plan gives better answers. It mostly doesn't. The same models show up on the free tiers, and the writing quality is the same. What changes is 3 things, and none of them is "smarter."

1. Whether your data trains the model. On ChatGPT, the Free, Plus and Pro plans use what you type to improve the model by default, unless you go into Settings and turn off "Improve the model for everyone." ChatGPT Business, Enterprise and Edu don't train on your workspace data at all (OpenAI, "How your data is used to improve model performance", checked September 2026). On Claude, the personal plans only train on your chats if you've said yes in Privacy Settings, and Claude Team and Enterprise don't train on your content by default (Anthropic Privacy Center, consumer plans and commercial plans, checked September 2026). Same idea either way: on a personal plan it's a switch you have to know about. On a team plan it's the default.

2. One house instead of 5 apartments. Free, Plus and Pro are personal accounts. Your chats are yours, your projects are yours, and nobody else can see them or build on them. A team plan is a shared workspace: shared projects, shared instructions, one place where the team's work lives (OpenAI, ChatGPT Business overview and claude.com/pricing, September 2026). Think of it as the house. Everyone has their own room, but there's a kitchen.

3. Somebody holds the keys. Central billing, admin controls, and the ability to add a seat when someone joins and turn it off when they leave. On 5 personal accounts, when a person walks out the door, their chats and their prompts walk out with them.

What does it cost right now?

Prices as of September 2026, straight from the vendors. They change, so check the link before you buy. Notice they're almost identical.

• ChatGPT: Free is $0. Plus is $20 a month, personal (OpenAI Help Center). Business is $25 per person per month, or $20 on an annual plan, 2-seat minimum, no training on your data (OpenAI, ChatGPT Business FAQ).
• Claude: Free is $0. Pro is $20 a month, or $17 annual, personal. Team is $25 per person per month, or $20 on an annual plan, 2-seat minimum, no training on your content by default (claude.com/pricing).

So a team of 5 on either one is about $100 to $125 a month. Hold that next to what one hour of your own time is worth, and the question answers itself.

So when is free actually fine?

When it's just you, you're learning, and nothing client-related goes in. That's a real stage and there's no rush to leave it. Turn training off in your settings, keep client names out of it, and get your hands in the clay. Don't worry about picking the perfect plan yet. You'll know when you've outgrown it, because you'll be copying prompts into Slack for other people.

The test: 3 questions

1. Is more than 1 person using AI for the business? Then you need one house, not 5 apartments.
2. Does anything with a client's name, numbers or documents go in? Then you need the plan where "no training" is the default, not a switch.
3. Would you want to keep the prompts and projects if that person left? Then you need the seat to belong to the company, not the person.

One yes is enough.

ChatGPT or Claude?

For this decision, it doesn't matter. Same price, same 2-seat minimum, same no-training default on the team plan. Pick the one your people already reach for, because the tool nobody opens is the expensive one. If you want my opinion on which fits your work, that's a different conversation, and a short one.

The mistake I see most

5 people, 5 personal accounts, 5 credit cards on the expense report, training left on in every one of them. It looks like a team using AI. It's 5 strangers using AI next to each other. Nobody knows what's in there, nobody can share what's working, and the best prompt in the company lives in one person's account. That's not an AI problem. That's a setup problem, and it costs about the same to fix as it does to leave alone.

The plan isn't the point. Knowing what you're on, and why, is the point. Once you know that, the rest is just a checkbox.
